Privacy notice
What this website collects, what we do with it, and how long we keep it. It is short because the site does very little.
What this notice covers
This notice describes how Meridian & Cole LLP handles information collected through meridiancole.com. It does not cover information the firm holds about clients in the course of an engagement, which is governed by the engagement letter, the Illinois Rules of Professional Conduct and the attorney-client privilege.
Reading this site or sending a message through it does not create an attorney-client relationship, and material sent before an engagement is confirmed in writing may not be treated as confidential.
What we collect
We collect only what the site needs to work and what you choose to send us.
- Information you submit through the contact form: your name, email address, telephone number if you provide one, the practice area you select, and the outline of the matter you write.
- Standard server logs recorded by our hosting provider: IP address, browser user agent, requested URL, referring URL and timestamp.
- No advertising cookies, no analytics cookies and no third-party tracking scripts. This site sets no cookies of its own.
How we use it
Contact form submissions are used to run a conflicts check and to reply to you. They are reviewed by the partner responsible for the relevant practice and by the firm’s conflicts staff.
Server logs are used to keep the site available and secure, and to diagnose faults. They are not used to build a profile of you and are not combined with contact form data.
We do not sell, rent or trade personal information, and we do not use it for marketing unrelated to the enquiry you sent.
How long we keep it
If your enquiry does not become an engagement, we retain the submission and the conflicts record for two years, because a declined matter can create a conflict later that we must be able to identify.
If it becomes an engagement, the material becomes part of the client file and is retained under the firm’s file retention policy, currently seven years after the matter closes.
Server logs are retained for 30 days.
Your rights
You may ask us what information we hold about you, ask us to correct it, or ask us to delete it. Where the request concerns material we are required to retain under our professional obligations, we will tell you which part we cannot delete and why.

Security
The site is served over HTTPS. Contact form submissions are transmitted encrypted and are stored on systems accessible only to firm personnel who need them.
No transmission over the internet is entirely secure. Please do not send privileged, confidential or highly sensitive material through this site before we have confirmed an engagement in writing.
